2023 has just begun and it is already lining up to be a busy year for the event industry and our clients. But, it’s important to think about the basics even with a lot going on. An important element of any event is keeping delegates interested, creating a memorable experience and reducing client stress. Keeping the client’s preferences in best interest is key to any successful event. Here are some examples of what clients will usually look for in a venue.


 One of the main decisions in choosing any venue is deciding on size. Considering health and safety, a bigger venue is the safer option as delegates may want extra space to be able to practice social distancing, as post-covid safety is still an important concern.

However, smaller venues are a better fit for small-scale events with minimal standing. This saves on costs and also ensures the most effective use of venue space.

Location and transport

Although most clients may be flexible with where a venue is located, some others may prefer to be a little closer to home, so it’s important to establish the preferred distance. Accommodation is also something to consider. Delegates travelling further will need a place to stay, so it may be wise to ensure there is nearby accommodation when picking a venue.

Concerning transport, it is more than likely that a client requests a venue with parking, making it best practice to seek a venue with a car park. Alternatively, the client may wish to hire transport for their delegates to save on car park space.


Having wheelchair-accessible and disability-friendly services is something clients are seeking more and more. For disabled or impaired delegates, check the venue has built-in facilities or if not, see about installing temporary ramps, rails, etc.

Visual and audial impairments are important to consider as well. Optimising an event to be available for all delegates is fair in order to ensure delegates have equal opportunities.


This one speaks for itself. Clients will be fixed on a budget, so it’s vital to stay within this target and try to help save on money where possible in order to maintain high satisfaction.


For bigger events which cover multiple days, it may be necessary to provide catering for delegates. Therefore, it is good practice to note down both allergen and dietary requirements.


Clients will want to ensure that delegates are kept comfortable and entertained. Having fitting décor and acoustics within the venue will best ensure that the right atmosphere is created.

The ambiance will need to be suited to the nature of the event. For example, in the case of a formal event, natural acoustics and will make the best ambiance as attention then isn’t drawn away from the event focus.
